Northrop Grumman Aeronautics Systems, Global Supply Chain Program Management Department is seeking an experienced **Administrative Assistant** to support a key program team. The position reports to the Director, Global Supply Chain Program Management (GSCPM).

+ Position is located in **Palmdale, California**
+ Requires someone to come into the office, _cannot accommodate a hybrid/telecommute schedule._
+ Schedule is 9/80, with every other Friday OFF!

Key responsibilities include performance of all administrative and support functions for the Director, GSCPM and other GSC leaders inside the program area. The job will involve coordination among multiple functional organizations (both inside and outside of Global Supply Chain) located across multiple campus locations and time zones.

The successful candidate is a vital member of the team and performs in an administrative role, which by nature of the position involves high-level contacts and exposure to sensitive programs, new business, personnel, and technical information necessitating considerable use of tact, diplomacy, discretion, and judgment.

The position requires a self-motivated professional who is skilled in a full range of administrative support functions; including answering phones, making proper referrals, ordering supplies, coordinating security related functions, domestic travel arrangements, filing expense reports, coordinating meetings across multiple calendars, managing/coordinating guests, supporting the program group's day-to-day administrative needs including facility requirements, and coordinating the new employees' onboarding process.

**Essential Functions:**

+ Exercise decision making skills using professional judgment and tactful implementation
+ Handle multiple tasks and situations simultaneously and prioritize requirements accordingly
+ Demonstrate organizational skills with ability to manage and prioritize multiple activities, and ability to work independently with minimal supervision to:
+ Keep group phone lists accurate and up to date
+ Manage email distribution lists
+ Coordinate closely with multiple GSC & Program Admins
+ Manage food orders and distribution during extended operations events and lunchtime meetings
+ Maintain in-person presence to support ad-hoc requests from team members
+ Demonstrate the ability to complete assignments to a very high standard regardless of challenges encountered
+ Demonstrate dependability, accuracy, efficiency, and punctuality
+ Desire to work in a fast paced, changing, and diverse environment
+ Possess a positive can-do, self-directed, cooperative attitude
+ Possess computer skills at a level to allow the candidate to support the group with minimal direction. Computer based administrative responsibilities include:
+ Calendar management (coordinate/sync unclassified and classified calendars),
+ Meeting organization,
+ Coordinating travel arrangement including associated visit approvals and clearance transfers,
+ Meeting planning,
+ Travel expense report generation and closeout,
+ Help coordinate/prepare briefing packages,
+ Visitor coordination, arrangements, and serve as visitor liaison,
+ General office management tasks.

+ Assist with overseeing office moves and support facility related actions
+ Sometimes backfill for the administrative assistant to multiple Directors including managing calendars, coordinating travel, and creating expense reports
+ Be asked to work overtime from time to time
+ Answer questions relating to office operations and established policies and procedures.
+ Gather, compile, and report on information relevant to supervisors assignment.

The position requires a positive team player who is flexible in attitude and dedication, with the experience and ability to effectively interface with all levels of Northrop Grumman leadership and support organizations, and customer management.

**Basic Qualifications** :

+ High School diploma/GED with at least 6 years experience as an administrative assistant, preferably for a large team.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
+ Proficiency in business and travel expense system (Concur, Edge, or similar)
+ Active DoD secret clearance _(to apply_ )
+ Ability to obtain program access ( _after accepting, however prior to starting new role_ )

**Preferred Qualifications:**

+ An exceptional team player, interface well at all levels in the organization, be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks independently
+ Able to work with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
+ Knowledgeable of office operations and established policies and procedures and have a strong network of resources across our Palmdale, CA facility
+ Outstanding verbal, interpersonal and written communication skills
+ Ability to protect and maintain confidentiality
+ Current active Special Access Program clearances

Salary Range: $63,800.00 - $106,300.00

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
