At DeepMind we've created a unique environment where long-term ambitious research can thrive. Our world-class interdisciplinary team combines the best techniques from deep learning, reinforcement learning and systems neuroscience to build powerful general-purpose learning algorithms. We have already made a number of high profile breakthroughs towards building artificial general intelligence and now have all the ingredients in place to make further significant progress over the coming years.

Snapshot

This is a rare opportunity to join an extraordinary team of people in a complex, mission-driven company. DeepMind continues to grow, and we are now seeking our first Management Support Team role based in the USA, as Assistant to the General Counsel and also to the Director, Technology Pathfinding. This role would suit someone who thrives in fast-paced, evolving environments and is looking to define their career within a company that could change the world.

The overall purpose of the role is to remove all administrative pressures from your two Principals lives, increasing their levels of efficiency to exceptional standards; enabling and organizing them to focus entirely on our mission.

Reporting to the Operations Support Lead, you will resolve operational and administrative issues before they arise and move quickly, adapting to changing priorities to support your team. Youll help coordinate diaries, know team members whereabouts at all times, anticipate their needs and ensure that they are prepared for each day.

Were looking for a hardworking, driven individual who wants to be part of an exceptional team, in an inspiring and collaborative environment, working on ground-breaking technology with potentially extraordinary impact.

The Role

Youll join a close-knit team of highly committed, passionate and collaborative people. You will join the local Operations team and be managed and mentored by the Operations Support Lead in London; and join the international Management Support Team within the wider Operations group. The connections you build and relationships you develop will be key to the success of this role.

Each day in this position is different; in addition to adapting to constantly changing priorities, you will need to deliver against a core set of critical tasks.

KeyResponsibilities;

  • Thoughtfully coordinate complex and ever-changing diaries in line with your Principals and the organisations priorities; manage conflicts for day-to-day meetings, interviews, conference calls and appointments across numerous time zones, different office locations, and on behalf of multiple senior stakeholders

  • Anticipate the needs of your Principals and their teams across two different office locations in London and California; being their eyes-and-ears, helping them to stay focused on their projects, balance their duties and take time for their own personal development

  • Coordinate team meetings and circulate relevant materials for all appointments, confirm meeting roles and agenda points ahead of time

  • Have a clear comprehension of your Principals key partners; ensuring that they meet with these individuals and their direct reports in the appropriate cadence

  • Build the MTV to London connection by bringing the teams together and being a culture champion; building leadership approachability and team cohesion

  • Work with and manage multiple, perhaps contending, priorities

  • Arrange frequent and complex domestic and international travel, ensuring a smooth door-to-door service with clear travel itineraries

  • Act as a point of contact and an ambassador for DeepMind, dealing with incoming requests and heavy email correspondence

  • Draft and send out team communications on behalf of your Principals

  • Collaborate on all administration and operational processes, making suggestions for continuous improvement to grow efficiencies

  • Manage events end-to-end for internal and external business and team bonding events e.g. team focus days, lunches, dinners, retreats, talks and seminars

  • Maintain a database of contact details of key colleagues and professional contacts

  • Undertake financial administration e.g. submit and approve expense claims; approve purchase order requests; approve invoices; manage reimbursements etc.

  • Scan, copy, file and maintain an effective filing and archiving system (online and offline)

  • Work closely with the Management Support Team to provide Assistant support during busy periods as required (most likely to our Edmonton based Assistant due to time zones)

  • Prepare and update Management Support Team presentations for talks and events

About You

You are a resilient and experienced Assistant, and perform best in a fast-paced environment. You have high energy and a keen interest to continue to grow your career in supporting and enabling others. Your colleagues describe you as positive, warm, kind, trustworthy, and efficient. You have a can-do attitude and a thirst for learning.

This role is, quite simply, the opportunity of a lifetime for someone with a passion for enabling exceptional individuals to be more effective and productive.

  • Proactive, and a natural problem-solver, you identify what needs to be done without guidance, whilst understanding what your Principals have to do everyday, what must be achieved and their timeframes. Ensuring that their day runs smoothly, helping to reduce stress and setbacks

  • Calm even in the most stressful of situations; implementing changes as required, seeking understanding and learning from any setbacks

  • Self-aware, learning from experience and feedback

  • Preparation and research is second nature, allowing you to always stay one step ahead. You plan down to the very last detail and always have contingencies in place

  • You handle your (sometimes conflicting) priorities well; you coordinate multiple deadlines; and manage expectations in a considerate way

  • You apply superb diary management skills across various time zones, in order to make the most of every day, ensuring that the individuals you support have the context for each meeting that they're attending, and the time between meetings to prepare

  • Acutely organised, used to working at a very fast pace, juggling many different tasks in changeable and ambiguous environments, whilst ensuring impeccable attention to detail

  • You are wired to facilitate social interactions and build authentic relationships

  • As this position is fast-paced and subject to shifting circumstances, being able to not only understand a problem but to speak (and write) clearly about potential solutions is a key skill for success in the role

  • Comfortable communicating both internally and externally, adapting your communication style accordingly in a thoughtful way

  • You help put out fires, fill the gaps and exercise judgement

  • Your get stuck in mentality means that no task is too big or too small

  • An ability to form relationships with people, putting people at ease, create understanding, influence and instil trust. Your knowledge and approach means that people actively seek your guidance

  • Able to view situations from several perspectives helping bridge the gap between these

  • You believe in the value of teamwork and are able to constructively challenge others

  • You are able to listen to different views and challenge your own assumptions, encouraging others to do the same

  • You're quick to share credit, praise and to recognise others strengths

  • You are adaptable and flexible

  • Hierarchy isnt important to you; collaborating as a team and working towards our mission is what drives you every day

  • You want a role that you can give your all to and make your own, whilst being part of a team. You strive to succeed and constantly improve

  • Most of all, you instinctively act with integrity, discretion and tact, and apply sound judgement in responding to circumstances. Loyalty and confidentiality are a must

  • You have expert knowledge of using standard office tools in G-suite

  • You should use your observational skills to identify actions and then be able to problem solve to make it happen

  • You have an aptitude and willingness to learn and develop your project leadership skills, including learning a variety of project management methodologies

  • A background in a legal environment would be beneficial

This is a career-defining role and you must be ready to commit to this long term mission. This opportunity offers the chance to be a key part of something extraordinary and the opportunity to make a real difference.

Please include a cover letter when applying and tell us how you can make a difference to our team.
