DeepMind continues to grow, and we are now seeking our first Management Support Team role based in the USA, as Assistant to the General Counsel and also to the Director, Technology Pathfinding. The overall purpose of the role is to remove all administrative pressures from your two Principals lives, increasing their levels of efficiency to exceptional standards; enabling and organizing them to focus entirely on our mission.

Reporting to the Operations Support Lead, you will resolve operational and administrative issues before they arise and move quickly, adapting to changing priorities to support your team. Youll help coordinate diaries, know team members whereabouts at all times, anticipate their needs and ensure that they are prepared for each day.

The Role

Youll join a close-knit team of highly committed, passionate and collaborative people. You will join the local Operations team and be managed and mentored by the Operations Support Lead in London; and join the international Management Support Team within the wider Operations group. The connections you build and relationships you develop will be key to the success of this role.

Each day in this position is different; in addition to adapting to constantly changing priorities, you will need to deliver against a core set of critical tasks.


  • Thoughtfully coordinate complex and ever-changing diaries in line with your Principals and the organisations priorities; manage conflicts for day-to-day meetings, interviews, conference calls and appointments across numerous time zones, different office locations, and on behalf of multiple senior stakeholders

  • Anticipate the needs of your Principals and their teams across two different office locations in London and California; being their eyes-and-ears, helping them to stay focused on their projects, balance their duties and take time for their own personal development

  • Coordinate team meetings and circulate relevant materials for all appointments, confirm meeting roles and agenda points ahead of time

  • Have a clear comprehension of your Principals key partners; ensuring that they meet with these individuals and their direct reports in the appropriate cadence

  • Build the MTV to London connection by bringing the teams together and being a culture champion; building leadership approachability and team cohesion

  • Work with and manage multiple, perhaps contending, priorities

  • Arrange frequent and complex domestic and international travel, ensuring a smooth door-to-door service with clear travel itineraries

  • Act as a point of contact and an ambassador for DeepMind, dealing with incoming requests and heavy email correspondence

  • Draft and send out team communications on behalf of your Principals

  • Collaborate on all administration and operational processes, making suggestions for continuous improvement to grow efficiencies

  • Manage events end-to-end for internal and external business and team bonding events e.g. team focus days, lunches, dinners, retreats, talks and seminars

  • Maintain a database of contact details of key colleagues and professional contacts

  • Undertake financial administration e.g. submit and approve expense claims; approve purchase order requests; approve invoices; manage reimbursements etc.

  • Scan, copy, file and maintain an effective filing and archiving system (online and offline)

  • Work closely with the Management Support Team to provide Assistant support during busy periods as required (most likely to our Edmonton based Assistant due to time zones)

  • Prepare and update Management Support Team presentations for talks and events

  • A background in a legal environment would be beneficial
