UW Medical Center - Northwest has an outstanding opportunity for a DAY SHIFT, FULL TIME, CLINIC PATIENT SERVICES SPECIALIST II . Demonstrates service excellence standards in independently performing the following support services:  reception and check-in patients; obtain and verify registration and insurance information; collect payments at time of service; schedules appointments; coordinates care with other services; answers phones and provides initial triage; perform other necessary activities to maintain clinic operations.

RESPONSIBILITIES:
  • Demonstrates excellent customer service skills
  • Responds to patients needs and concerns as appropriate.  Investigates complaints and works with office Lead, Supervisor or Manager to find solutions
  • Accepts patient payments (co-pays, deposits, etc.)
  • Coordinates and assists in scheduling ancillary appointments and consults
  • Using clinic guidelines, gathers information on the telephone re:  the nature of the patient concern.  Triages calls to appropriate staff; obtains necessary information for the return call; initiates emergency procedure when necessary, uses appropriate documentation tools
  • Reviews daily schedules to identify required medical records requests
  • Orders, coordinates, and distributes medical records as needed
  • Processes all copying request and follows UW guidelines in sending appropriate requests to HIM
  • Scans all in house test results, ultrasounds, ECGs, etcattaches to appropriate order
  • Obtains necessary insurance plan information
  • Maintains ongoing documentation and tracks authorized referrals
  • Reviews the Epic Referral Queue daily for incoming orders and new patient referrals
  • Maintains the physical environment for safety of staff and patients and for aesthetic presentation of the area (for example, organizing the waiting room furniture and magazine area.)
  • Reviews and works daily Televox reports
  • May be required to drive an automobile (or other vehicle) as a function of job in-between clinic sites.  If so required, completes all driver clearance procedures and paperwork.  Drives carefully and in accordance with the law and driving standards. Maintains a valid Washington Drivers License and a clean driving record.

  • REQUIREMENTS:
  • High school graduate or GED
  • Data entry skills required
  • Microsoft application skills:  Word, Excel and Outlook
  • Minimum of one year administrative or clerical support required
  • One year customer service experience required
  • If driving is included as a function of the job, maintains a valid Washington Drivers License and clean record


  • DESIRED:
  • Working knowledge of medical terminology
  • Experience in a health care setting
  • Keyboard skills:  35+ wpm
  • Excellent organizational skills, high attention to detail and accuracy
  • Knowledge of medical terminology
  • Knowledge of physician practice management systems
  • Familiarity with electronic medical records
  • Ability to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served
  • Customer service in a clinical setting
  • Able to work in a high volume, fast paced work environment and perform and prioritize multiple tasks simultaneously
